How appointment information is handled

This notice explains what the PHS appointments website collects, why it is needed, and how advertising measurement is kept separate from confidential patient information.

Information you provide for an appointment

When you book, we collect the selected branch and service, appointment date and time, name, WhatsApp number, age, gender, optional email and any notes you choose to enter. The clinic uses this information to create, confirm, manage and follow up on the appointment.

Website and advertising attribution

The site may record non-sensitive technical information such as the landing-page path, advertising click identifiers (including GCLID, GBRAID or WBRAID), campaign parameters, a coarse referral domain, an anonymous session identifier, button interactions and whether a booking succeeded. This helps us measure which advertising produced genuine appointments and reduce irrelevant advertising spend.

What is not sent in analytics events

We do not intentionally send your name, phone number, email address, free-text notes, exact age, medical report, diagnosis or private booking reference to GA4, Google Ads or other advertising tags. Appointment contact information remains in the private clinic system for operational use.

Your measurement choice

Analytics and advertising tags remain blocked until you select “Allow measurement.” If you decline, the booking service still works and no Google Tag Manager container is loaded. If you allow measurement, the site may use browser storage to remember the most recent tagged advertising visit for up to 90 days and analytics providers may use cookies or similar storage. Advertising personalisation and enhanced-conversion user data remain disabled for this health-related booking activity. You can reopen “Privacy choices” at any time.

Service providers

The appointments service uses Vercel for website hosting, Neon for the private application database, and Google services for site measurement and advertising reporting. WhatsApp and telephone links open services operated by their respective providers.

Retention and security

Appointment and attribution information is kept only for legitimate clinic operations, reporting, fraud prevention and legal or accounting needs. Access to the administration system is restricted. No internet system can be guaranteed completely secure, so avoid placing urgent or highly sensitive medical details in the optional notes field.

Your choices and questions

You may ask about, correct or request deletion of appointment information where applicable by contacting contact@professionalhearingsolution.com or calling 0332-5014111. Removing browser storage through your browser settings also clears locally retained attribution.

Urgent medical concerns

This booking website is not an emergency service. Seek prompt medical attention for sudden hearing loss, severe pain, injury, discharge, dizziness with acute symptoms or any other urgent concern.
